This policy explains what personal information D & J Distributing & Manufacturing (“we”, “us”) collects when you use exoticafreshretail.com, why we collect it, and what you can ask us to do with it.
We are based at 1302 Holloway Rd, Holland, OH 43528, USA. For anything in this policy, email info@exoticafreshretail.com.
What we collect
- When you order: your name, email address, phone number, billing address and delivery address. We need these to take the order, charge it, ship it and talk to you about it.
- When you pay: your card or bank details go directly to our payment processor. They are never sent to our server and we never see or store your full card number. We keep only the last four digits and the card type, so we can identify the payment.
- When you create an account: your email, password (stored encrypted) and your order history.
- When you apply for a wholesale account: your company name, trading name, contact name, business email and phone, business address, business type, website and social pages, and anything you write in the message box.
- When you contact us or subscribe: your name, email and your message.
- Automatically, as you browse: your IP address, browser and device type, the pages you view, where you arrived from, and how you move through the site.
Cookies and tracking
We use cookies and similar technologies for three separate purposes.
Necessary. These make the site work — remembering your basket, keeping you logged in, and security. The site cannot function without them.
Analytics. We use Google Analytics 4 to understand how the site is used: which pages people visit, which products they look at, and where they stop. This tells us what to improve. Google’s own privacy notice is at policies.google.com/privacy.
Advertising. We use Google Ads conversion tracking, and where enabled the Meta (Facebook and Instagram) Pixel and the TikTok Pixel, to measure which adverts lead to sales and to show our products to people who have shown interest. These tools set cookies and share limited event data, such as the fact that a purchase happened and its value, with those platforms.
You can refuse or delete cookies in your browser settings. Necessary cookies aside, the site will still work; some parts may be less convenient.
Who we share it with
We do not sell your personal information. We share it only with the companies that make the shop work, and only with what they need:
- Stripe — to process card and bank payments, and to screen them for fraud.
- Our shipping carriers — your name, address and phone, so your parcel arrives.
- Our hosting provider — which stores the site and its database on our behalf.
- Google, Meta and TikTok — the analytics and advertising data described above.
- Our email provider — to send order confirmations and, if you asked for them, offers.
We may also disclose information where the law requires it, or to protect our rights or someone’s safety.
How long we keep it
Order records are kept for seven years, because tax and accounting rules require it. Account details are kept until you ask us to close the account. Enquiries and wholesale applications are kept for two years. Newsletter subscriptions are kept until you unsubscribe — every email has a one-click unsubscribe link.
Your rights
You can ask us to show you the personal information we hold about you, correct it if it is wrong, delete it, or stop using it for marketing. Email info@exoticafreshretail.com and we will respond within 30 days.
If you live in California, you have the right to know what we collect, to have it deleted, to correct it, and not to be discriminated against for asking. We do not sell personal information as that term is defined under California law. You can exercise these rights at the same address.
Deleting your information does not remove records we are legally required to keep, such as completed order records within the seven-year window.
Security
The site runs over an encrypted HTTPS connection. Payment card data is handled entirely by our payment processor and never reaches our systems. Passwords are stored encrypted. No system is perfectly secure, but we take reasonable measures to protect what we hold.
Children
This site is not intended for anyone under 16, and we do not knowingly collect information from children. If you believe a child has given us information, email us and we will delete it.
Changes
If we change this policy we will update the date at the top. Material changes will be announced on the site.
